POSITION SUMMARY

Under supervision, pulls, packages and ships customer orders, supplies and equipment in a safe, effective and timely manner.

ESSENTIAL JOB FUNCTIONS:
1.    Processes daily orders in a timely and accurate manner according to department standards in a pick/pack environment.
2.    Picks priority shipments first as communicated by the supervisor.
3.    Boxes and packs orders with packing materials to ensure safe delivery.
4.    Pulls product for orders; verifying product numbers and quantity.
5.    Verifies that order is pulled correctly.
6.    Stocks shelves accurately.
7.    Ensures regulatory compliance, process controls and safety standards are met.
8.    Ensures all company, employee and regulatory policies and procedures are followed.
9.    Maintains an organized, safe work environment.
10.    Knows and follows all safety rules.
11.    Rotates stock and ensures date stickers are on all product.
12.    Ensures no expired product is on the shelves.
13.    Keeps warehouse clean.
14.    Performs additional duties as directed.

Qualifications

EDUCATION & EXPERIENCE REQUIRED:

•    High school diploma or equivalent required
•    Must be able to lift 50 pounds
•    Must be able to stand most of the day

KNOWLEDGE SKILLS & ABILITIES:

•    Strong attendance and punctuality is a must
•    Must be able to meet daily minimum productivity numbers for pulling and packing/shipping.

Main Purpose of Job
The Traffic Coordination Officer will be responsible for the overall implementation of the Construction Traffic Management Plan (CTMP), Port Traffic Management Plan and the Travel Plan (TP) at each stage of the project, to ensure compliance with the assessed HGV, light vehicle, and staff vehicle movement targets in order to minimise impacts on local communities

Key Tasks

Contractor Liaison

• Implementation of the final CTMP and TP by assisting and directing the contractor nominated Construction Traffic Management Plan Coordinators (CTMPCos)
• Work with SPR’s appointed contractors to ensure good construction practice to ensure opportunities are sought to reduce the overall number of HGV movements by consolidating loads, maximising payloads, and undertaking advanced planning of deliveries of critical path items and materials
• Work with the appointed contractor to ensure a smooth import profile is maintained.
• Work collaboratively with the appointed contractor to ensure effective implementation of general Travel Plan measures including designated parking areas, employee welfare facilities, preparation of travel packs, cycle parking and employee inductions
• Auditing of the contractor to monitor and ensure compliance

Engagement and Communication

• Act as the point of contact for the local community
• Provide a link between the CTMPCos and SPR
• Act as the interface with Sizewell C (SZC) on traffic and transport related matters, including adherence to protocol agreements, roadworks, HGV movements and highway mitigation works
• Engagement with the Projects’ construction staff (SPR) and National Grid contractors
• Be the first point of call for all concerns raised.
• Provide input to a regular newsletter on traffic and transport matters
• Act as the point of contact for East Suffolk Council and Suffolk County Council on traffic and transport matters

Control and Compliance

• Ensure compliance with the assessed peak HGV and light vehicle movements and staff vehicle movement targets
• Establish a booking system for deliveries for use between the CTMPCos and TCo, to assess a daily profile of HGV deliveries to be maintained and to ensure that the required deliveries are regularly forecast and planned.
• Ensure compliance with the construction hours in the Development Consent Order (DCO)
• Ensure statutory processes are followed with particular regard to roadworks, Temporary Traffic Regulation Orders (TTROs)
• Ensure compliance with the agreed HGV delivery routes
• Prepare transport monitoring and enforcement protocols prior to commencement of construction and agree these with stakeholders
• Use data from installed Automatic Number Plate Recognition cameras to ensure adherence to assessed vehicle movements, Euro VI, and working hours.
• Establish transport monitoring and enforcement protocols prior to commencement of construction
• Encourage the use of active travel (walking, cycling and public transport) and car sharing
• Review the Final for Discharge Requirements Discharge Documents

Monitoring

• Oversee data collection of HGV movements to ensure compliance with DCO assessed HGV and light vehicle movements
• Establish a system for monitoring of the Euro-class of HGV delivery vehicles
• Establish systems to ensure effective monitoring of Travel Plan measures including employee numbers, employee method of travel, cycle demand and parking

Recording and Reporting

• Take GPS tracking data from HGV vehicles to record the routes, timing, speed of vehicles when making deliveries, to assist in auditing, complaint investigation and reporting of any breaches
• Preparation of a quarterly monitoring report that will be made publicly available
• Establish a near miss reporting system for all highways incidents to ensure accidents and near misses are recorded within this system and that drivers are reminded during inductions and within the Driver Code of Conduct to report all issues through the near miss system.
• Reporting of any breaches of the CTMP and TP
• Reporting the monitoring of the final CTMP and TP to Suffolk County Council

Enforcement and Corrective Action

• Investigate breaches of the CTMP and TP
• Identify corrective action in consultation with Suffolk County Council in the event of a breach

Key Criteria

• Good knowledge of health, safety and environmental legislation associated with offshore/marine delivery key packages
• Flexible to travel regularly to attend meetings and work at different project sites in a number of countries thought northern Europe and USA particularly Germany, France, Denmark, Spain and England.
• Good knowledge of offshore procedures, standards and guides.
• Experience in managing high skilled teams
• Degree and professional qualification in relevant engineering discipline

Your new role
Your main responsibilities as the Logistics and Transport Director would be overseeing 15+ vans, ensuring they run on time to the routes with a more hands-on approach. You will also be reporting to the Managing Director and spend most of your working time in the warehouse with one day a week spent in the office. In addition, you will be leading a team of around 15-20 people in both the transportation and production departments. As this business grows, you will be leading the operation and strategic approach to logistics and transportation and building out this team as necessary.

Responsibilities

• To process and ensure proper settlement of Trade Finance transactions according to the procedures set out in the operational manual, thoroughly checking the supporting documents, obtaining approval of transactions from the management, input trade transactions in NGD system, passing the relevant accounting entries.

Requirement

• Bachelor degree or higher qualification
• Minimum 3 years of experience in handling all trade finance products, i.e. L/C , L/G, collections, invoice financing , bill discounting, forfeiting, etc
• Good understanding and knowledge of AML checking related to trade transactions
• Able to process remittance transactions, i.e. MT202, MT103, MEPS008, MEPS009 etc.
• Basic knowledge of accounting entry and reporting.
• Must be meticulous, careful, positive and full of responsibility
• Mature with good communication skills and must be able to work independently

Core Responsibilities

• Performs weekly PANDACTM physical inventory counts in an accurate and timely fashion for all wound closure products at designated departmental stocking locations for assigned accounts. Identifies excess inventory, returning stock and processing credits according to Owens & Minor account return procedures.
• Responsible for the weekly reorganization, re-sequencing, labeling and inventory maintenance services for all assigned stocking locations to ensure productive weekly counts and efficient SKU location by departmental staff.
• Maintains all departmental stocking locations according to accepted quarterly report standards including, but not limited to, inventory turnover and inactive item report values
• Identifies excess inventory, returns stock and processing credits according to Owens & Minor account return procedures. Assists in preparation of quarterly reports and makes recommendations for storage area/cart consolidations or changes, reductions in excess inventory, inactive items and the identification of expired/outdated product.
• Uploads end-of-quarter counts to the PANDACTM server within a minimum of one week after performing the last quarterly count of an account's fiscal period.
• Performs regular data file backups. Prints and maintains hard copy records of all account count sheet files for use in the event of a hardware/software failure.
• Provides customer service and maintains communications with all departmental managers and head nursing staff

Qualifying Experience

• Associate degree, required. Bachelor's degree, preferred. • CRCST or CST (Certified Registered Central Sterile Technician, Certified Surgical Technologist), preferred.
• Minimum, two (2) years of work experience in healthcare surgical services and/or logistics materials management and/or project management, required.

POSITION OVERVIEW:

Responsible for supporting and assisting the Distribution and Logistics & Warehouse team in operational execution ensuring timely & efficient delivery of products.

This role involves:

• working closely with various teams like demand fulfilment planner, warehouse team, procurement, regional D&L, customs broker to ensure smooth execution of the distribution process.
• Collaborate to complete the documentation & safekeeping to support regulatory and process compliance.
• Work with suppliers to ensure timebound billing, accruals and accounting of expenses.
• Collaborate with VN SCM team in managing administrative tasks.

PRIMARY ACTIVITIES:

1. Customs clearance, Trade Compliance, Last Mile delivery, Inbound, Outbound and Return process

• Receive shipping documents from shipping site like AWB (Air Way Bill) / BL (Bill of Lading) copy, packing list, Invoice, COA and any other relevant document/s.
• Check completeness and accuracy of shipping documents prior to submission for customs clearance.
• In case of any documentation issues, coordinate & follow-up with AP shipping Team / shipping site / Freight forwarders.
• Coordinate with customs broker for customs clearance & report to SCM for resolution in case of any challenges in customs clearance.
• Customs Declaration Sheet (CDS) accuracy :
• Check accuracy of draft Customs Declaration Sheet (CDS)
• Share final draft CDS with D&L Specialist
• Follow-up. email approval from D&L specialist to customs broker for submission to Customs
• Calculate VAT payment for each shipment and obtain approval from SCM Lead, Finance (Controller / FD) and submit relevant shipment documents to BSC for VAT payment.
• Check and review the availability of all mandatory license documents (e.g MA extension, approval letter for SNC [site name change] and collaborate with RA team to obtain any additional documents needed for customs clearance.
• Coordinate with RA / Legal / Site QA for Letter of Authorization (LOA) approval which is required after every MA renewal or any changes in the SNC/VISA/relevant variation details :
• Draft the Letter of Authorisation to be received from site
• Follow-up with RA/Legal/QA to validate contents of the LOA
• Co-ordinate with Site QA for a signed LOA original letter.
• Coordinates with customs broker for shipment arrival, customs clearance, schedule for delivery to FIE and POD.
• Support FIE warehouse to report and follow-up as per SOPs in case of any shipment having issues like temperature excursion, shortage/excess or damage.
• Co-ordinate for Vaccine sample delivery to NICVB :
• Obtain sign-off from QA for Vaccine submission form along with importation report for respective SKU batch
• apply the company seal on the hard copy and send to FIE WH for attaching along with the sample delivery shipment to NICVB
• follow-up with courier vendor to pick up from FIE WH and delivery confirmation from NICVB.
• Co-ordinate with Controlant authorised agency and FIE WH for pick-up of used controlant IoT/ temptales attached in relevant Cold Chain shipment/s from FIE WH.
• Coordinate with FIE WH & Customs Broker to return used temptales to Sensitech per approved SOP.
• Return PQC sample to Manufacturing sites as per guidance from DPoC.
• Co-ordinate with Wholesaler/s for return of PQC sample to FIE WH or office.
• Collaborate with customs broker to prepare documents for export shipment
• Obtain sign-off from authorised person on the export documents
• Organise courier pick-up of the PQC sample shipment
• Follow-up for POD
• Collaborate FIE WH to obtain new Temptales / Credo Cubes requirements and place order with approved suppliers.
• Co-ordinate for returned goods :
• Collaborate with wholesaler/s for returned goods list & verify if there is authorisation.
• Co-ordinate with wholesaler for date of return good delivery at FIE WH and shipment delivery
• Coordinate with FIE WH for Goods Receipt

2. Report, Documentation and Safekeeping

• Conduct monthly self-inspection of CDS audit per trade compliance requirement.
• Support audit exercise with requested documents.
• Support Tender / KAM team for shipment documents as & when required.
• Prepare Importation report, obtain IMQ approval and submit hard copies to NICVB & DAV, within 10 days upon Vaccine shipment arrival at FIE WH.
• Prepare Bi-annual import shipment report, obtain MD approval and submit email as well as hard copy to DAV.
• Prepare annual Toxic products shipment report, obtain MD approval and submit by email as well as hard copy to DAV.
• Credo Performance Qualification (PQ):
• Every six months, analyse the temptales data of all sample shipments to NICVB
• Submit the Performance Qualification report to D&L Quality and IMQ for approval
• On a quarterly basis, submit the Vaccine inbound shipments temperature data and any other information required, to NICVB.

3. Billing management

• Verify the broker’s statement for customs clearance, last mile transportation and broker fees, to facilitate broker’s bill submission.
• Place POs to suppliers based on forecasts / actual services rendered.
• Receive, review, obtain approval and submit to finance all invoices from suppliers for payments.
• Symphony products:
• Check accuracy of demurrage charges billed by Zuellig
• Coordinate with Finance/BSC to process payment to Zuellig and keep Commercial Ops updated of the status.

EDUCATION, EXPERIENCE & COMPETENCIES

Desired Experience/Education:

Experience:

• Minimum of 3 years-experience in managing In-Market Distribution & Logistics
• Multinational company experiences will be a plus
• Pharmaceutical or Healthcare industry experiences is preferable

Education:

• Graduate from any discipline.
• Major in Business or Supply Chain Management, is preferable
