Job Purpose & Objectives

· Work in the Operations Middle Office team in Singapore which handles predominantly Trade Finance, Guarantees, Loans and some Remittances.

Key Responsibilities

· To handle customer enquiries regarding mainly trade finance transactions; liaise with counterparties regarding documents’ discrepancies after checking by Hub/ back office.

· Remit Trade Finance documents and processing of loans (mainly trade-related);

· Review of Midas system transactions and reconciliations;

· Prepare Guarantees Letters / fees invoices etc

· Funding for loan drawdown and rollover;

· Prepare instruction forms for Loans/Guarantees/Trade Finance for input by Hub;

· Setup/ create customer record in Midas and input all authorized signatories/ directors/ beneficiary owners;

· Check account opening forms and documents;

· Download SWIFT AMH messages;

· Perform market price checks and enquiry in Trade Finance Registry;

· Handle remittances & provide month-end bank statements to customers;

· Follow-up of unreconciled Nostro items with counterparties;

· Prepare reports as required for regulatory or internal purpose;

· Handle audit confirmation requests from customers;

· Assist on Worldcheck and FIRCO checks when required;

· Other duties that may be assigned as necessary.

Qualification & Experience

· Over 8 – 10 years hands-on experience in Trade Finance;

· Experience in Loan administration;

· Bachelor Degree or Diploma in Banking / International Trade / Business Administration / Finance or similar.

Knowledge & Skills

· UCP600 & ISBP knowledge required.

· Able to handle full set of Import/ Export documents including LC and all related document checking, financing, discounting, advising, collection, SBLC etc

· Good knowledge and familiar with Singapore banking regulations & practices and reporting requirements

· PC skills – words, excel etc

Language

· Fluent in written and spoken English. Ability to converse in Mandarin is preferred.

The “Ops Manager” manages the operations and personnel for locations with approximately 1400 truck units. Essential Functions

• Operations Management:
  Responsible for optimizing labor at the shop, and ensuring the optimal mix of straight time, O/T and Outside Repair.

• Labor Management:
  Provides management, training and development of all personnel assigned.

  Responsible for Recruiting, Hiring, On-boarding, Payroll, and Succession Planning.

• Customer Management:
  Directly responsible for customer relationship management to include issue resolutions, customer satisfaction, and retention, as well as ensuring vehicle uptime.
  Responsible for optimizing vehicle maintenance cycle time and ensuring that the shop meets or exceeds Delivered in Time Promised objectives based upon customer requirements.
  Responsible for ensuring complete execution of the Customer Communication Protocol.
  Collaborate with Sales Team to develop the service requirement section of the Customer Care Plan to ensure effective delivery of service.
  Conduct customer visits and annual reviews as required by the Customer Care Plan.
  Responsible for Customer Retention and Maintenance CSI through optimal execution of the Maintenance Promise.

• Asset Management:
  Directs his/her direct reports in maintaining the appearance and maintenance of assigned location, including sustaining 6S standards throughout the shop.
  Responsible for the execution of Asset Management initiatives at the shop level.
  Evaluates needs and makes recommendation for shop tooling and equipment requirements.
  Management and oversight of vehicle specifications and vehicle in-service/out-service process.
  Provide input during business unit asset management review.
  Ensure all vehicles have required specifications in SAM.
  Responsible for Parts Inventory management, policies and procedures.
  Collaborate with Rental in scheduling PM’s, utilization of assets to be ready at all times, subs, VMI, and wash log.

• Quality Management:
  Responsible for Quality Inspections of PM & repairs, as well as performing In Process Reviews on non-PM work.
  Lead breakdown root cause analysis process, implement corrective actions locally, and when necessary, communicate issues to Technical Assistance Center.
  Maintain control/visibility over shop floor activities to ensure proper root cause diagnosis by technicians and that the yield on all parts/components is optimized.
  Responsible for all Mandatory Compliance items at the Shop Level as identified on the Quality Review inspection list.
  Accountable for all Quality Metrics within the Shop
  Develop and ensure implementation of Quality Assurance Audit Corrective Action plans and Continuous Improvement programs.
  Accountable for maintenance of all relevant documentation required to meet and/or exceed local, state, federal, as well as customer requirements.
  Responsible for ensuring a safe workplace and providing guidance for all safety efforts and initiatives.
  Ensure Cleanliness and quality of repair for all maintained vehicles.
  Comply with Safety, State, and EPA regulations and requirements.

• Financial Management:
  Responsible for ensuring shop delivers against Net Maintenance Cost per Unit objectives without sacrificing quality, safety or customer satisfaction.
  Responsible for implementing cost control measures related to maintenance operations budget and location P&L statement to meet financial objectives.
  Directly responsible for successful execution of Maintenance Initiatives to attain or exceed specified financial targets.
  Responsible for the optimization of net maintenance cost per unit.
  Work with vendor sourcing group to identify potential and preferred vendors for specific facilities and vehicle maintenance services.
  Responsible for ensuring accuracy of third party invoices and the quality of worked outsourced to vendors.
  Responsible for Payroll, Purchase Order approval and invoice reconciliation, and fuel reconciliation, all liquid inventories to include fuel, DEF and oil.
  Responsible for the customer bill back process to include identification, review and approval of bill back opportunities Responsible for ensuring proper documentation and explanation/ reporting of re-billable activity.
  Responsible for the Warranty process and maximizing Warranty recovery in the shop.
  Ensure data integrity in the shop management online system.

Activités principales:

• Traiter et réconciliations les paies bimensuels pour garantir l'exactitude des données et la conformité aux législations, aux politiques et procédures de l'entreprise et aux contrôles internes.

Payroll Analyst

Reporting to the Payroll Manager, the Payroll Analyst provides relevant payroll, benefits, financial and/or tax related analysis for the payroll and annual financial cycles. They act as the primary contact for Corporate to assess, recommend and resolve all issues related to expatriate’s pay and is accountable for completing the reporting to the external tax services provider. The analyst is also accountable for the completion and accuracy of the annual preparation of all tax forms and annual reporting to the provincial agencies.  Performs all payroll and accounting reconciliations, including benefits and pensionable earnings.

Primary Activities:

• Process end -to-end semi-monthly payroll processing and reconciliations to ensure data accuracy and compliance to legislations, company policies and procedures and internal controls.

• Accountable for the full preparation of the annual tax forms for active and retiree group benefits, T2200 forms and completes required updates and reviews for all year-end adjustments (car taxable benefits, pension-related adjustments, etc.).

• Extracts and performs data analysis for payroll related projects or in answer to requests from internal clients such as Financial Planning & Analysis, Tax or Human Resources teams and supports audit requests and external inquiries by preparing requested information.

• Verification, accuracy and completeness of payroll journal entries for all companies, using multiple accounting systems.

• Balance sheet reconciliations of all payroll related accounts.

• Conducts benefits reconciliations as it relates to payroll, including Manulife group benefits, Defined Contribution plan deductions & pensionable earnings for the actuaries.

• Maintains a working relationship with Human Resources and other operating partners to resolve discrepancies rapidly and efficiently.

• Contributes to the development, implementation and documentation of payroll policies, procedures and internal controls.

• Supports the implementation of continuous improvement initiatives to enhance efficiency and effectiveness of processes within own work-area.

• Leads or supports any payroll related projects.

• Answers to all internal and external inquiries on payroll related and taxation issues.

• Acts as the primary contact person for corporate Global Mobility & Ernst & Young for questions or issues related to expatriate’s pay; completes the monthly reports and prepares tax equalization reconciliations and intercompany chargebacks.

• Supports questions from active employees and retirees for taxable benefits.

You are the ideal candidate if you have:

• Bachelor’s degree a strong asset; DEC required.

• Payroll designation with the National Payroll Institute is preferred

• Previous experience processing payroll within a multi-national organization.

• Strong knowledge of payroll systems and payroll legislation

• Experience with ADP WFN payroll system is strongly desired.

• Working knowledge of accounting standards.
