You will be responsible for managing physical and digital documents within the organization. Your primary duties will include scanning and storing documents securely.

Responsibilities:

• Utilize scanning equipment to digitize paper documents accurately and efficiently.
• Categorize scanned documents according to predefined criteria and ensure proper indexing for easy retrieval.
• Conduct quality checks on scanned documents to ensure readability and accuracy. Resolve any discrepancies or issues promptly.
• Maintain organized physical and digital filing systems to facilitate easy access to documents.
• Assist colleagues in retrieving specific documents as needed, both physically and digitally.
• Adhere to strict security protocols to safeguard sensitive information. Ensure compliance with data protection regulations and company policies.
• Perform routine maintenance and troubleshooting on scanning equipment to ensure optimal functionality.

Requirements:

• Ability to lift and move boxes of documents.

Responsibilities:

• Provides comprehensive administrative support to the Head of Practice Management, including managing calendars, scheduling meetings, and handling email correspondences;
• Coordinates and prioritizes tasks, ensuring deadlines are met and objectives are achieved;
• Assists to monitor administrative timelines;
• Acts as a liaison between the Head of Practice Management and internal staff, maintaining effective communication channels;
• Attends meetings and accurately records minutes of discussion;
• Any other ad-hoc matters.

Requirements:

• Minimum 2 years as a Personal Assistant or similar role;
• Ability to multitask effectively in a fast-paced environment;
• Ability to work independently and efficiently under minimal supervision;
• Minimum diploma or equivalent qualification is preferred;
• No relevant law firm experience is required.

Job Description:

• Prepare and serve drinks / beverages to clients
• Maintain general cleanliness and hygiene of the office pantry, reception and meeting rooms.
• Maintain general neatness of office, empty and clear dustbins.
• Account for pantry supplies and replenishing, ie. topping up snacks & beverages, maintains the stock level of pantry items.
• Cleaning cups and utensils, be it in pantry and Managers' rooms
• Handle ad hoc assignments or tasks as required
